PaperMove user guide
Essential PaperMove controls.
PaperMove is an invitation-only research organiser. It does not submit applications, register for events, or change connected calendars.
Week
Week is the default view. Use Previous week, This week, and Next week to inspect a Monday-to-Sunday schedule.
- Plan later stores independent tasks, meetings, and memos without requiring a date or paper.
- Paper deadlines and PaperMove tasks are editable in their original PaperMove records.
- You can add a conference, funding call, or other opportunity manually, or track one from the monitored public list.
- Tracked opportunity deadlines come from your personal tracking fields.
- Connected calendar entries are read-only and are labelled as such.
To connect a university Outlook calendar, publish it as view-only in Outlook on the web, then add its private ICS link under Account → University Outlook calendars. Use Sync calendars to refresh Week. PaperMove also syncs after sign-in when the previous sync is over 30 minutes old and every 30 minutes while it remains open and idle. Each connection displays its last successful sync time. PaperMove cannot change Outlook events. Treat the private ICS link like a password and use Outlook's Unpublish action if it may have leaked. Papers
Papers keeps project-specific work together:
- Overview — active papers, stages, next actions, and due dates.
- Tasks — revision work across active papers.
- Handoffs — work currently with a coauthor or collaborator.
- Archive — completed records retained for reference.
GPT Revision
GPT Revision uses your own OpenAI API key. The first time you open the tab, enter the key and acknowledge how it is handled. The key is encrypted separately for your PaperMove account, is hidden after it is saved, and cannot be copied back out of PaperMove. Use Disconnect to permanently delete it at any time.
- Paste only the passage you want to revise, up to 5,000 characters.
- Choose Clarity, Concise, Professional, Friendly, or Grammar.
- PaperMove sends only that passage and style to OpenAI for the requested revision.
- Review the before-and-after result, then copy it or use it as the next original.
- Nothing in your PaperMove workspace is changed automatically.
Opportunities
Opportunities are independent of papers. PaperMove never assigns a opportunity to an existing project automatically.
- Browse shows unreviewed monitored listings.
- Track adds an item to your private tracked list.
- Dismiss hides an item without deleting the public source record.
- Tracked lets you add a status, priority, personal deadline, next action, and notes.
- Archived keeps completed tracking details out of Week and allows later restoration.
The EAA Accounting Resources Centre listing is checked weekly. New, changed, and removed records are flagged. Automated extraction can be incomplete or incorrect, so always use Open source to verify dates, eligibility, fees, and submission instructions before acting.
Information Board
The Board is shared by all signed-in PaperMove users. Use it for information, feedback, questions, or other short messages.
- Your display name and post are visible to every signed-in user.
- You can edit or delete your own posts; the owner can remove posts.
- Posts are automatically and permanently deleted after 30 days.
- Do not post confidential, sensitive, abusive, or unlawful content.
Files
Files is a top-level private area. Uploads are isolated to your account and are intended only for temporary storage. Keep authoritative copies elsewhere.
Account, security, and backups
- Use your individual invitation only; never share an account.
- Use a password of at least 12 characters and keep MFA enabled.
- Do not store personal or confidential information unless you are authorised to do so.
- Download a JSON backup periodically. CSV export is a report, not a complete backup.
- Use Account to review activity and access this guide, the privacy notice, and the terms.
- To leave PaperMove, use Account → Permanently delete account. Export first: deletion removes your sign-in, private workspace, temporary uploads, and Board posts and cannot be undone.
- Deleting your account does not rewrite references that another user has independently stored inside their isolated private workspace.
- Dated planner items have Edit and Delete controls on their Week cards. Unscheduled items can be opened and changed under Plan later.
- The Activities panel is folded by default. Open it to search actions and notes from the most recent 30 days; older activity is automatically removed.
